Antibiotic stewardship software cost for a small hospital, and which line items you can cut

Antibiotic stewardship software cost is not published by any of the main platform vendors. Sentri7, VigiLanz, TheraDoc, BD HealthSight and Medici are all quoted after a demo, with a price built from beds, modules and interfaces. A small hospital should budget by listing what it needs, asking each vendor for an itemized quote, and pricing separately the one report it can buy with a published price, the cumulative antibiogram.

How much does antibiotic stewardship software cost?

No public source gives a per-hospital figure, and numbers quoted in forums are single contracts signed under different terms. What the vendors do say is structural. Inovalon's disclosure lists a one-time implementation fee and an annual license fee. Wolters Kluwer and Premier quote after a demo. Expect the first year to include an interface project and the renewal to include an increase, and ask for both in writing.

What drives the quote for a small hospital

  • Licensed beds or number of facilities in the agreement
  • Modules: alerts, antibiogram, NHSN AUR submission, infection surveillance
  • Interfaces to the EHR, laboratory and pharmacy systems, and who builds them
  • Implementation fee versus the annual subscription
  • Contract length, auto-renewal date and cap on increases

Which stewardship tasks need a platform and which do not

Real-time alerts, intervention tracking and AUR submission need a platform with live feeds. The cumulative antibiogram does not. It is annual or quarterly, rule-bound by CLSI M39, and needs only a susceptibility export from the laboratory. Hospitals of 25 to 100 beds often pay a platform price for a report a spreadsheet and a few weekends already produce, which is the line item worth separating first.

Plans as published on the Antimicrobe pricing page.
Need Needs live interfaces Typical route
Real-time alerts Yes Platform, quote only
NHSN AUR submission Yes Certified platform or EHR module
Cumulative antibiogram No Lab CSV tool from $249 a month

A budget route for a small hospital

Start with the antibiogram. Antimicrobe builds it from a lab CSV in one upload, keeps the first isolate per patient, flags organisms under 30 isolates and prints its rules. One facility with 25,000 isolates is $249 a month by card, and annual billing is half the monthly price, listed on the pricing page. Platform quotes then cover only alerts and AUR. Per-platform detail is in VigiLanz pricing and Sentri7 pricing.

When the stewardship line has to fit a department budget, a tool such as budget planning software for tracking what each department spends keeps the renewal numbers in one place.

Questions to ask each vendor

  • Is the quote itemized by module, implementation and support
  • What is the year two price and the cap on increases
  • Who builds and maintains the lab and EHR interfaces
  • Can the antibiogram print with its first-isolate rule and 30 isolate threshold
